Position Overview 

 

The Business Operations Associate is responsible for supporting the organization's administrative functions, including office administration, customer service, community relations, bookkeeping, and database management.

 

Essential Functions

All areas of responsibility listed below are essential to the satisfactory performance of this position by any/all incumbents, with reasonable accommodation, if necessary. Any non-essential functions are assumed to be included in “other assigned duties as required.”

 

Office Administration

  • Perform daily office operations, ensuring effective communication and professional public engagement.
  • Maintain office spaces, equipment, and supplies to ensure smooth functioning.
  • Assist leadership with board meeting preparations, communications, and hosting duties as needed.

 

Customer Sales/Service Support

  • Handle sales qualification inquiries and estimates.
  • Provide outstanding customer service and sales support for both PANGEA and CCBA clients.
  • Manage and update customer databases (e.g., Salesforce, Constant Contact) to ensure data integrity.
  • Investigate and resolve customer billing issues and concerns.


Community Relations, Marketing & Communications

  • Support website updates and ensure timely, accurate content.
  • Assist with planning and executing special events (e.g., annual meetings).
  • Manage email distribution lists and recipient databases for reports and communications.

 

Billing & Collections

  • Assist with billing and collections as requested by the Business Operations Manager and the Chief Financial Officer, ensuring accuracy and timely invoicing.


Qualifications

  • Minimum 5 years in office administration; management experience preferred.
  • Associate’s or Bachelor’s degree preferred.
  • Proficiency in Microsoft Office, QuickBooks, and customer databases (e.g., Salesforce). Strong communication, interpersonal, and problem-solving skills.
  • Detail-oriented, organized, self-motivated, and able to prioritize tasks independently.
  • Willingness to learn and apply technical knowledge for customer troubleshooting.

 

Working Conditions and Physical Requirements

 

This position is performed in an office environment and requires some physical effort, such as handling materials and accessing a second-floor office with no elevator. Occasional lifting of up to 25 pounds is expected. The role requires regular use of hands, frequent sitting, and occasional standing, walking, or climbing.
